For the conversion of paper to image, we need to identify:

  • The type of documents to be scanned
  • The number of documents to be scanned (based upon the requirement to save space and improve retrieval)
  • The number of pages per document
  • How much preparation (e.g. removing staples) will be required
  • Any comments on the their quality
  • What will happen to the file output (e.g. store on network, CD or via document management system)
  • What indexing information will be needed for each document? What are the field lengths and is the source of the index on the document or elsewhere?
  • Whether the documents can be destroyed or should be returned
  • The image format (e.g. TIF or PDF) you require

For the conversion of microform to image we need to identify:

  • Is it Fiche or microfilm jacket?
  • If Fiche, how may frames per fiche?
  • If Jacket, is it silver microfilm or diazo copy?
  • What is the quality of the images on film?
  • Are all the images 16mm?
  • How many fiche?
  • What will happen to the file output (e.g. store on network, CD or via document management system)?
  • What indexing information will be needed for each document? What are the field lengths and is the source of the index on the document or elsewhere?
  • The image format (e.g. TIF or PDF) you require?
